Falcons (Singapore) Running Club (“Falcons”, “we”, “us”, "club") respects your privacy and is committed to protecting your personal data in accordance with Singapore’s Personal Data Protection Act (PDPA).
This policy explains what personal data we collect, how we use it, and how it may be shared as part of normal club activities.
We only collect personal data that is reasonably necessary to run the club. This may include:
Your name
Email address
Phone number
Membership and payment status
Participation and performance in runs, races or club events
Photographs, videos or information that you provide to the club through any of our third-party services (see below)
We use your personal data only for legitimate club purposes, including:
Managing membership and participation
Communicating about training sessions, events and announcements
Collecting membership fees, kit payments or event payments
Organising club activities and supporting member safety
Basic administrative requirements related to running the club
We do not sell your personal data and do not use it for unrelated marketing.
Falcons uses a WhatsApp Community for club communication.
By joining the WhatsApp Community, you acknowledge and understand that:
Other members will be able to see your phone number, name and WhatsApp profile information
This disclosure occurs by design of the WhatsApp platform
If you are not comfortable sharing your phone number with other members, you may choose not to join the WhatsApp Community. Participation in WhatsApp is optional.
Falcons may use Google Workspace to manage membership lists or event sign-ups
In some cases:
Other members may be able to see your name and email address, for example where shared lists are used to coordinate club activities
Access is limited to what is reasonably necessary for club purposes. If you have concerns about visibility of your email address, please contact the DPO.
We may take photos or videos during events.
These may be used for:
Club communications (e.g. WhatsApp, Heylo)
Sharing club activities on social media (e.g. Instagram, Facebook)
Promoting the running club in a positive and respectful way
By participating in Falcons activities, you understand that photos may be taken.
If you do not wish to appear in photos or would like a photo removed, please inform an organiser. We will respect such requests as far as reasonably practicable.
To operate the club efficiently, Falcons uses trusted third-party services, including:
Google Workspace [Privacy Policy]
Heylo (event sign up, member communication and community management) [Privacy Policy]
Stripe (payment processing) [Privacy Policy]
HitPay (shop and payment processing) [Privacy Policy]
BetterMerge (sending emails) [Privacy Policy]
Some of these services are based outside Singapore. Where personal data is transferred overseas, we take reasonable steps to ensure the recipient provides a standard of protection comparable to that required under Singapore’s PDPA. These third-party services have their own privacy policies, which can be found on their respective websites. Falcons is not responsible for the content of third-party privacy policies.
We take reasonable steps to safeguard personal data, including:
Restricting access to club organisers who need the information
Using reputable platforms with appropriate security measures
Avoiding unnecessary collection or long-term storage of personal data
We also make reasonable efforts to ensure that personal data we use or disclose is accurate and up to date, and rely on members to inform us of any changes to their information.
Personal data is retained only for as long as it is reasonably needed for legitimate club purposes.
Under Singapore’s PDPA, you have the right to:
Request access to the personal data we hold about you
Request corrections to inaccurate or outdated data
Withdraw consent for certain uses of your personal data
Withdrawal of consent may affect your ability to participate fully in some club activities.
Falcons (Singapore) Running Club has designated the Club Secretary as its Data Protection Officer (DPO).
In the event of a data breach that could cause significant harm, we will assess and, if required under PDPA, notify affected individuals and the PDPC.
